These Booking Terms apply when you book an appointment with a healthcare practice or provider through the Tidewell provider directory at tidewellapp.com/providers ("booking"). Tidewell is operated by TARA VEDA MARCENTILE COMPANY ("we", "us", "our"), doing business as Black Belt Code Labs.
Please read them before you book. You are asked to acknowledge them before a time is held for you.
1. What these terms cover
These Booking Terms cover booking only. They are separate from the Terms & Conditions for the Tidewell app and website, which continue to apply to your use of those. How we handle personal information is described in our Privacy Policy.
2. Tidewell's role
Tidewell provides a way to find a practice or provider and to request and manage an appointment with them. Tidewell is a booking intermediary.
Tidewell is not a healthcare provider and is not the provider for your appointment. Tidewell does not provide care, does not make decisions about your appointment or treatment, and does not receive payment for appointments.
3. The practice's responsibility
The practice or provider you book with is responsible for the appointment and the service: the care you receive, decisions about your appointment, cancellations and changes on their side, payment, and any refund.
The practice decides the services it offers, how long they are, how much notice it needs for a cancellation, whether it charges for a service, and how much. Tidewell does not set prices. The amount and how to pay come from the practice.
4. Who can book
To book you must be 18 or older, or be the parent or legal guardian of the person the appointment is for and book on their behalf.
You do not need a Tidewell account to book, and booking does not create one. A booking is not linked to any Tidewell app account you may have.
5. Confirming your email address
Booking uses your email address to identify you. Before a time is held for you, we send a 6-digit code to the address you give and ask you to enter it, to show the address is yours. The code can be used once and expires after a short time.
Entering the code correctly starts a temporary booking session on the device you are using. The session lets you make and manage your own bookings for a limited time and then ends. To come back to a booking later, you confirm your email address again.
6. What you acknowledge before booking
Before a time is held for you, you are asked to tick a box to acknowledge that:
- you are 18 or older, or are the parent or legal guardian of the person the appointment is for;
- you have read the appointment, cancellation and payment information shown on the booking page;
- you have read these Booking Terms and our Privacy Policy.
We record when you acknowledged and which version of these Booking Terms was in force, and keep that with your booking.
7. Holding a time
Choosing a time on the booking page does not book it. Once your email address is confirmed, the time you chose is held for you for 10 minutes while you finish. If you do not finish within 10 minutes, the hold ends and the time is released. A time is not guaranteed to be available until it is held for you.
8. Completing a booking
- Services the practice does not charge for. Your appointment is booked when you give your name.
- Services the practice charges for. Your appointment is booked only when the practice confirms your payment, as described below.
To book, we ask for your name and your email address. No clinical or health information is collected when you book. Please do not include any in the details you give; the practice will ask you for what it needs.
Each booking has a booking reference. It is shown on your booking page and included in the emails we send about that booking.
9. Paying the practice
Tidewell does not collect payment for appointments. Where a practice charges for a service, you pay the practice directly, in the way the practice's own instructions describe. Those instructions are shown to you after you give your name.
When you book a service the practice charges for, you have 60 minutes to pay the practice and tell us you have done so. If you do not, the booking ends and the time is released.
10. Telling us you have paid
You can tell us you have paid, with a receipt or confirmation reference and the date you paid if you have them. These are kept with your booking and shown to the practice so that it can match your payment. Nothing else about the payment is asked for, and there is no free-text note. Never enter card or bank account numbers.
Tidewell does not verify, process or guarantee any payment made to a practice, and does not process refunds. After you have told us you have paid, your booking waits for the practice to confirm or decline it. It is not released only because the 60 minutes have passed; it is for the practice to act. Refunds, and any dispute about a payment, are between you and the practice.
11. Cancelling and changes
- If you need to cancel. You can cancel a booked appointment online up to the cancellation notice shown for that service when you book. After that, contact the practice. A booking that is not yet booked, because you have not finished it or the practice has not yet confirmed your payment, can be cancelled online at any time.
- Changes by the practice. A practice can cancel an appointment, decline a booking, or move an appointment to another time. We tell you by email when it does.
- Moving an appointment. Only the practice can move an appointment to another time. If you need a different time, cancel and book again, or contact the practice. When a practice moves an appointment, the moved appointment has a new booking reference, which we send you by email.
- Reasons. When a practice cancels, declines or moves an appointment, it records a reason chosen from a short fixed list. The reason is kept in the appointment's history. It is not included in the email we send you.
- After the appointment. The practice may record that an appointment took place or that it was not attended. We do not send an email about this.
12. Emails about your booking
We send only the emails needed for booking: the code to confirm your email address, and messages telling you that an appointment is booked, that a payment is awaited and by when, that your payment report was received, that a booking was not confirmed, that the practice cancelled, or that the practice moved your appointment. We do not send marketing emails or appointment reminders as part of booking.
13. Your information
Your name, your email address, your booking, and any payment reference and date you give us are shared with the practice you book with, so that it can see you. They are visible to the practice's administrators, to the provider your appointment is with, and to colleagues the practice has given access to that provider's calendar.
We keep your name, your email address and your payment report with an appointment for 24 months after the appointment's end time. After that they are removed from it. The record of the appointment itself, and the history of what happened to it, are kept without your details.
Booking is provided using third-party services, including Resend for sending booking emails, Vercel for serving the booking pages, and a Tidewell booking database, separate from the Tidewell app's, hosted with Supabase. Email you send to support@tidewellapp.com is forwarded to us by ImprovMX. More about how we handle personal information is in our Privacy Policy.
14. Asking for your booking information to be removed
You can ask us for a copy of the information held for your bookings, or for your details to be removed, by writing to support@tidewellapp.com from the email address you booked with.
When we remove your details, your name, your email address and your payment report are removed from your past and finished appointments. The record of each appointment and its history are kept without your details.
We cannot remove your details while you still have an appointment to come. We do not cancel it for you: cancel it first in the usual way, and then ask again.
15. What "verified by Tidewell" means
Verified by Tidewell means Tidewell has completed identity, licence/credential, and affiliation checks available to us at the time of verification. It does not mean Tidewell endorses the provider, guarantees care quality, or guarantees availability.
16. Responsibility
Tidewell does not provide healthcare and does not give medical advice through booking.
Tidewell does not guarantee a provider's credentials, the quality or outcome of any care, that an appointment or a particular time will be available, that a practice will confirm a booking, or any payment or refund. Those are the responsibility of the practice or provider.
To the extent permitted by applicable law, Tidewell is not responsible for the acts or omissions of a practice or provider, including the care they provide, their decisions about an appointment, and payments or refunds between you and them.
17. Changes to these Booking Terms
These Booking Terms are published in versions. When you book, you acknowledge the version in force at that time, and that version is recorded with your booking.
Version: 2026-10-06-v1, effective 6 October 2026.
